When I Work Alternatives 2026: 7 Options and Real Costs

Kemal Özdemir

When I Work is one of the most familiar names in shift scheduling for hourly teams. It is simple to pick up, the mobile app is well liked, and at $2.50 per user its entry price looks low. Teams start looking elsewhere when that price stops being the whole story: time tracking is a separate add-on, every casual worker adds a full seat, and its Auto Scheduling fills shifts rather than building a roster around your rules.

In short: the best When I Work alternative depends on what is pushing you away. If cost is the problem, Sling (free up to 30 users) and Homebase (free for one location up to 10 employees, then a flat fee) are cheaper for most small teams; if you need GPS clock-in included, look at Connecteam; if you need compliance, forecasting and payroll connections in one system, look at Deputy; if you run restaurants, look at 7shifts; and if building a fair, rule-safe roster is the hard part, imRoster drafts the whole roster with AI for a per-account price instead of a per-user fee.

Every price below was read on the vendor's official pricing page on 19 October 2026. Prices change often and differ by country, so confirm before you sign.

What is When I Work best at?

It is worth being fair about why When I Work is so widely used. As of October 2026, its strengths are real:

  • Ease of use: reviewers on Capterra, where it holds a 4.5 average from more than 1,200 reviews, most often praise how quickly managers and staff learn it.
  • A low entry price per head: Essentials is $2.50 per user per month and already includes Auto Scheduling, schedule templates, OpenShifts, shift swapping and in-app messaging.
  • Payroll and POS integrations from the entry plan, plus forecast tools.
  • Scheduling rules, role permissions, labour sharing and custom reporting on Pro ($5 per user), and API, webhooks and SSO on Premium ($8 per user).
  • A 14-day free trial with no credit card.

If your team is small, mostly on one site and happy with a shared schedule plus swaps, When I Work does the job well. The alternatives below make sense when the per-user model, the add-ons or the limits of its scheduling start to hurt.

Why do teams look for When I Work alternatives?

Per-user pricing and the time tracking add-on

When I Work charges per user per month: Essentials $2.50, Pro $5 and Premium $8 (as of October 2026). Time tracking and attendance is a separate toggle on every plan, and its price is not shown on the pricing page, so ask for a quote that includes it before you compare. The page is also inconsistent about locations: the plan table lists multi-location scheduling under Essentials, while the FAQ says $2.50 is for single-location teams and $5 for multi-location businesses. Every part-timer or casual you add pays the full seat, even if they work two shifts a month.

What reviewers say

Reviews are mostly positive. Summarised, the themes that keep coming up are:

  • Praised: ease of use, the mobile app, team messaging and a schedule everyone can see.
  • Criticised: repeating the same week by hand instead of setting a standing schedule, duplication issues, no audit trail of who changed what, workflows that struggle with complex rules, and occasional clock-in or clock-out submissions that do not go through.
  • Mixed: notifications and reporting work but leave room for improvement.

Auto Scheduling is not a full roster builder

When I Work's Auto Scheduling assigns people to shifts you have already created, based on availability and settings. Scheduling rules, such as limits on hours, sit on Pro. It does not draft a whole weekly or monthly roster from a description of your team, your rest rules and how you want nights and weekends shared, which is the part that takes managers in healthcare, security and 24/7 operations the longest.

What does a 10, 25 or 50-person team pay per month?

The table compares list prices for one location with monthly billing, using each vendor's official pricing page on 19 October 2026. Each tool appears with its cheapest plan that includes scheduling and, where it matters, the plan that adds automatic scheduling.

Tool and planHow it is charged10 people25 people50 people
When I Work Essentials (Auto Scheduling, no time tracking)Per user, $2.50$25$62.50$125

Sling Free / PremiumFree up to 30 users, then $2 per user$0$0$100
Homebase Basic / EssentialsPer location: free for 1 location up to 10 employees, then $30$0$30$30
Connecteam Free / BasicFree up to 10 users, then $35 flat for 30 users plus $1 per extra user$0$35$55
Deputy Core (auto-scheduling, forecasting)Per user, $6.50; $30 monthly minimum$65$162.50$325

imRoster Starter / Growth / ProPer account, credit-based, not per user$5 to $50$5 to $50$5 to $50

How to read it, and what it leaves out:

  • All figures are US dollar list prices for monthly billing, excluding tax, on one location. Annual billing is cheaper at most vendors: about 20% at Homebase, 15% at Sling, roughly 18% at Connecteam and about 10% at Deputy. When I Work offers annual billing but does not publish the annual price.
  • When I Work's rows cover scheduling only, because the time tracking add-on price is not on its pricing page. Sling Free has no time clock; Homebase, Connecteam and Deputy include a time clock on the plans shown.
  • Findmyshift's flat team price stops at 20 staff; larger teams need a quote, so the 25 and 50 columns are not comparable.
  • imRoster prices are limited-time launch prices (regular $12, $45 and $110). Plans differ by monthly credit allowance (100, 500 or 1,500), not by user count, and every plan has the same features.

The pattern is the same as with most per-user tools: When I Work looks cheapest at five people and gets more expensive with every name you add, while per-location, flat and per-account tools stay level until a threshold. Price is only half the decision; a cheaper tool that cannot follow your rules costs you more in manager hours.

The best When I Work alternatives in 2026, by use case

The list is ordered by the job each tool does best, with where each one beats When I Work and where it falls short.

1. Sling: best free option for small teams

  • Best for: teams of up to 30 that need a shared schedule, time-off requests and messaging.
  • Pricing model: per user. Free for up to 30 users; Premium $2 and Business $4 per user per month with monthly billing (as of October 2026). Sling is now part of Toast.
  • Better than When I Work at: cost. Scheduling, templates, time-off requests and messaging are free for up to 30 people.
  • What it lacks: the free plan has no time clock, shift swaps or unavailability; auto-assigning is only on Business; reviewers report sync and mobile issues.

2. Homebase: best for US small businesses that want a flat price

  • Best for: single-site restaurants, shops and service businesses in the US.
  • Pricing model: per location. Basic is free for one location and up to 10 employees; Essentials $30, Plus $70 and All-in-One $120 per location per month with unlimited employees (as of October 2026).
  • Better than When I Work at: cost for larger teams on one site, a time clock on its plans rather than a per-user add-on, and an optional built-in payroll add-on.
  • What it lacks: the AI Scheduling Assistant starts on Plus; it is built for the US market; multi-site businesses pay again for every location.

3. Connecteam: best for field teams that need GPS clock-in

  • Best for: cleaning, construction, home services and other teams that work across sites.
  • Pricing model: flat for the first 30 users, then per extra user. Free for up to 10 users; Basic $35, Advanced $59 and Expert $119 a month with monthly billing (as of October 2026).
  • Better than When I Work at: GPS clock-in and geofencing on the entry plan, and a flat price that stays low up to 30 people.
  • What it lacks: automatic shift assignment only on Expert; per-user charges return above 30 users.

4. Deputy: best when compliance and payroll matter most

  • Best for: multi-site teams in Australia, the UK and the US that need time, pay and compliance in one system.
  • Pricing model: per user. Lite $5, Core $6.50 and Pro $9 per user per month, with a $30 minimum per monthly invoice (as of October 2026).
  • Better than When I Work at: compliance features, demand forecasting and auto-scheduling on Core, biometric clocking, Australian award interpretation and deeper payroll connections.
  • What it lacks: it costs more per head than When I Work, and the gap grows with headcount.

5. 7shifts: best for restaurants

  • Best for: restaurant groups that want scheduling tied to sales, tips and the point of sale.
  • Pricing model: per location, with a free Comp plan and a 14-day trial of the top plan. Paid plan prices load dynamically on its pricing page, so check the live figures.
  • Better than When I Work at: restaurant workflows such as tip management and sales-based forecasting.
  • What it lacks: outside restaurants, its specialist features add little.

6. Findmyshift: best flat price for micro teams

  • Best for: teams under 20 that build the schedule by hand and want a predictable bill.
  • Pricing model: per team. $27 a month for up to 20 staff, with a free plan for up to 5 (as of October 2026).
  • Better than When I Work at: a price that does not change as you add people, up to 20.
  • What it lacks: scheduling is manual, with no automatic or AI scheduling.

7. imRoster: best for an AI-drafted fair roster without per-user pricing

  • Best for: managers who build a weekly or monthly roster by hand and want the AI to draft it, in any sector, including nurses, care homes, security, hospitality and factories.
  • Pricing model: per account, credit-based. Starter $5, Growth $20 and Pro $50 a month at limited-time launch prices (regular $12, $45 and $110), with a 30-day free trial and no card (as of October 2026). Every plan has the same features, clock-in included.
  • Better than When I Work at: drafting the whole roster from a plain-language description of your team, shifts, time off and rules; never scheduling past the rules you set, such as 11 hours of rest between shifts or night-shift limits; spreading nights and weekends fairly; clock-in and an attendance report included rather than sold as an add-on; and a price that does not grow with headcount.
  • What it lacks: no payroll, POS integrations or timesheet approvals, no biometric, QR or kiosk clocking (staff clock in from a phone or browser, with location checked against a geofence and flagged, not blocked), no sales forecasting and no free-forever plan. It is also a younger product without When I Work's base of third-party reviews.
